Managed IT

How to know it's time to outsource your IT (and how to do it right)

Most businesses don't decide to outsource IT. They get pushed into it by a crisis. Here's how to spot the signs early and choose a partner calmly instead.

Practical guide

In nearly every business we visit, IT started the same way: someone on the team who was "good with computers" set up the Wi-Fi, the printer, and the email. That works — until the company grows past a handful of people and that person is spending half their week fixing things instead of doing their real job.

7 signs it's time

  • The same problems keep coming back. Slow computers, dropped Wi-Fi, a printer that needs restarting every morning. Nobody has time to fix the root cause.
  • Your "IT person" has another full-time job. Every hour they spend on IT is an hour not spent on sales, operations, or accounting.
  • Nobody knows all the passwords. If one person left tomorrow, could you still get into your email admin, router, domain, and accounting software?
  • You're not sure your backups work. Or you're not sure you have backups at all.
  • A client or insurer asked about your security. Larger clients, BPO contracts, and cyber insurance increasingly require proof of basic controls.
  • You've had a scare. A phishing email that almost worked, a virus, a laptop stolen with client files on it.
  • You're growing or moving. New hires, a new branch, or a new office are the moments where IT done badly becomes very expensive.

In-house vs outsourced: the honest comparison

A full-time IT hire gives you someone on-site every day, which is valuable. But one person can't be an expert in networking, security, Microsoft 365, servers, and backups all at once, can't cover nights, weekends, or their own leave, and still needs paid tools to monitor and secure your devices.

A managed service provider (MSP) gives you a whole team and enterprise-grade tools for a predictable monthly fee. For most businesses with fewer than 50 staff, that costs less than one hire and covers more. Larger businesses often do both: keep an internal IT person for day-to-day needs and use an MSP for monitoring, security, and escalations. We call that co-managed IT, and it works very well.

What a good IT partner should include

  • 24/7 monitoring of computers, servers, and the network, so problems are caught before staff notice
  • A helpdesk your team can reach directly, with real engineers instead of a call-center script
  • Patch management and endpoint protection (EDR) on every device
  • Backups that are monitored and restore-tested on a schedule
  • Documentation of your whole environment that you own, including passwords stored in a secure vault
  • Regular reviews in plain language: what's at risk, what to budget for, what's next

Questions to ask before you sign

  • What's your response time during business hours and after hours? Is it in the contract?
  • Who will actually work on our account? Can we meet them?
  • What's included in the monthly fee, and what costs extra?
  • If we leave, do we get all our documentation and admin access back?
  • How do you test backups, and how often?
  • Can you come on-site when something can't be fixed remotely?

A good provider will answer every one of these clearly and in writing. If the answers are vague, keep looking.

How to make the switch smoothly

Start with an assessment, not a contract. A proper provider will review your current setup, document what exists, and give you a prioritized list of risks before quoting. Onboarding then takes one to two weeks: installing monitoring, securing admin accounts, setting up backups, and fixing the urgent issues first. You can see how our plans are structured on our pricing page, or start with a free IT assessment.

Not sure if you're ready? That's what the assessment is for.

We'll review your network, devices, email, security, and backups, then tell you honestly whether you need a managed IT plan, a one-time cleanup, or nothing at all.
